About the opportunity
The HDR Administration Center (HDRAC) is a centralized point of contact for Higher Degree by Research (HDR) students, their supervisors, and other academic and professional staff of the University to receive advice, assistance and support with questions and transactions related to student administration, within a service-oriented environment.
As the Administration Officer on the HDRAC Operations team, you will work in a small and collegial team, and this role will give you the opportunity to adopt a proactive approach to problem solving, process improvement, and delivering exceptional customer service.
Your main responsibilities are:
- maintain the Register of University Supervisors in accordance with university policy and procedures
- support the reviewer nomination process including conducting internal relevance checks and proactively monitoring approvals to minimize delays
- provide exceptional administrative support to the team while ensuring high quality results, including assisting with the admission of scholarships
- respond to a wide range of inquiries from both internal and external stakeholders over email, phone, and ServiceNow tickets
- resolve matters with judgment, tact and diplomacy
- use experience and knowledge of university policies and procedures when communicating with stakeholders
- identify and contribute to process improvement initiatives
About you
- has demonstrated experience working in a high volume, customer centric environment
- demonstrated ability to resolve complex customer inquiries with well-developed negotiation, conflict resolution, relationship building and influencing skills
- strong communication and customer service skills, with experience dealing with a variety of stakeholders
- able to proactively manage and prioritize workload independently
- demonstrates a track record of proposing process improvements in a professional setting
- adaptable to change, proactive and eager to learn and take on new responsibilities
- preferably with experience and knowledge of university student administration systems and MS Office Suite, and/or demonstrated ability to quickly pick up new systems/processes
- ideally able to start the last full week in October
